The most panic-inducing phrase in a flight coordinator's day: "The catering didn't come." Forty minutes to departure, passengers arriving, and your caterer isn't answering. This scenario happens more often than the industry publicly admits, and the way you handle it — right now, in these next few minutes — determines whether your passengers eat or don't.

First 5 Minutes: Get Information

Before anything else, you need to know the status of your order. Call your caterer's dispatch line — not their general number, but a direct operations line if you have it. If they don't answer, text and email simultaneously. What you need to know:

  • Is the order in production? Was it ever started?
  • What is the driver's current location?
  • Can they confirm delivery by your departure window?

If you get no answer within 3 minutes of trying, assume the catering is not coming and move to contingency mode. Don't wait for a call back that may not come.

Contingency Options by Time Window

Under 20 minutes to departure: At this point, your options are your aircraft's existing pantry stock, the FBO's vending options, and any personal food items passengers may have. Brief your flight attendant and passengers calmly. Offer to coordinate a full catering delivery at the destination.

After the Flight: Get Your Money Back and Document Everything

A no-show from your caterer is a breach of contract. Document everything: the time you placed the order, the time you called to confirm delivery, the time you realized delivery wasn't coming, and every communication attempt. This is your paper trail for a refund and, more importantly, for deciding never to use that caterer again.
